RCM FACILITATOR'S KIT — Run a team RCM session from one pack

The RCM Analysis Workbook runs the analysis. This kit runs the meeting.

An RCM analysis lives or dies in the room: an operator, a maintainer, and an engineer, led by someone who has to keep the question order honest — functions before failures, consequences before tasks, tasks before intervals — stop the session dissolving into anecdote, and get output that survives review. This kit is that leader's pack: timed agendas, a facilitation script you can actually speak from, printable capture worksheets in the Workbook's own field order, the team rules, the pre-work checklist, and the one-page leadership brief that justifies the session hours — without promising savings.

Designed by a Reliability Engineer.

This product was designed by a Reliability Engineer with 15+ years in the industry, including experience across defense, aerospace, and weapons programs. He has built and implemented reliability-centered maintenance programs at multiple facilities — so the logic in these pages is not textbook theory. It is the same structure he has put into practice on real equipment, with real maintenance teams: the seven JA1011 questions in order, the consequence logic applied the same way every time, and the failure modes written the way they are actually found in the field. Every worksheet is built to be used the way the work is actually done — in a session, on a plant floor, with the people who own the equipment.

Free updates included — if this product is corrected or improved, the updated edition is delivered free to everyone who purchased it, via the store.

WHAT'S INCLUDED

  1. RCM-Facilitators-Kit.pdf — the 36-page printable pack (Letter, no form fields)
  2. RCM-Facilitators-Kit-Tools.xlsx — a small 5-tab tools workbook (Excel & Google Sheets, standard formulas only, no macros): Agenda Planner, Cost of Failure, Session Tracker, Action Log

THE PDF PACK

  • Two session agendas, timed block by block — half-day (240 minutes) for one screened asset or one stage of an analysis, full-day (450 minutes) for a complete single-asset analysis carried to packaged tasks
  • The facilitation script for all seven process steps — operating context & functions, functional failures, failure modes, failure effects, consequences, task selection, intervals & packaging — each with an opening question, a question bank, the traps to steer around, and a done-when test, all in original wording
  • Four printable team worksheets (A–D): functions capture, functional failures capture, modes & effects capture, and the decision worksheet — fields in the RCM Analysis Workbook's tab order, so session output types straight into the Workbook with no remapping
  • Roles & ground-rules one-pager — facilitator, recorder, operators, maintainers, engineer; decision rules; parking-lot discipline — written to pin on the wall
  • Pre-work / data-pack checklist — the failure history, drawings, PM records, and people to have in the room, sent five working days ahead, each item with an owner and a stated consequence if it is missing
  • A one-page leadership brief (send before the session) plus a cost-of-failure framing worksheet — downtime cost/hr × events, session cost built up openly, every figure labeled ESTIMATE. It frames scale; it does not promise savings
  • A worked session example: a fictional boiler feed pump carried through a full-day session — the setup, the morning, the afternoon, the contested consequence sort, and the record it produced

THE TOOLS WORKBOOK (5 TABS)

  • Start Here — what each tool does and the scope notes
  • Agenda Planner — enter a start time, adjust block durations; start/end times and the 240 / 450-minute totals recompute
  • Cost of Failure — the framing math done for you, with the fictional worked example pre-filled and labeled "replace with yours"
  • Session Tracker — one row per session (asset, facilitator, date, stage, counts) so a program of analyses accumulates in one place; register ships blank, with one clearly labeled fictional example row above it
  • Action Log

WHO THIS IS FOR

Maintenance managers, reliability engineers acting as facilitators, RCM consultants running client sessions, and supervisors leading an analysis for the first time. It pairs with the RCM Analysis Workbook (sold separately) — the worksheets mirror its tabs — and it is fully usable on its own as a facilitation pack for any structured RCM-style session.

HOW IT WORKS

Print the pack (at minimum: roles & ground rules, the checklist, your agenda, worksheets A–D). Open the Workbook on the recorder's screen. Facilitate from the script, capture in the worksheets' field order, read decisions back at the end of each step, and close with every action and parked item owned and dated. Afterwards, type the worksheets into the Workbook and route the decisions through your site's normal review.

IMPORTANT — SCOPE

Professional guidance only. This kit supports — never replaces — site engineering judgment, OEM requirements, and regulatory obligations. It is not RCM certification or training, makes no compliance or safety-guarantee claim, and reproduces no text from any standard: the process is described in original words, with JA1011 named nominatively only. Cost figures in the examples are fictional teaching figures or your own labeled estimates; nothing in this kit promises savings or reliability improvement.

FREQUENTLY ASKED QUESTIONS

1. Is this the RCM Analysis Workbook?

No — it is its companion. The Workbook ($49.99, sold separately) is the analysis engine: consequence classification, decision logic, calculators, packaging. This kit is the facilitation pack that runs the team session whose output goes into that Workbook. Each is usable alone; together they cover the analysis and the meeting.

2. Does it work without the RCM Workbook?

Yes. The agendas, script, worksheets, brief, and tools are a complete facilitation pack on their own. The worksheets follow the Workbook's field order because most facilitators use both — but nothing in the kit requires it.

3. What software do I need?

Any PDF reader/printer for the pack, and Excel or Google Sheets for the tools workbook. Standard formulas only — no macros, no VBA, nothing to enable.

4. How long is a session?

The kit gives two shapes: a 240-minute half-day and a 450-minute full-day, each timed block by block. The Agenda Planner tab lets you change the start time and block lengths and recomputes the timetable.

5. Can I print the worksheets and brief for my team?

Yes — printing for your own sessions is the intended use. Print the roles & ground-rules page for the wall, worksheets A–D per asset, and the leadership brief per session.

6. Does the cost-of-failure worksheet guarantee savings?

No — and it is designed not to. It structures your own estimates (downtime cost, events, repair cost, session cost) and frames their relative scale. Every figure is labeled an estimate, and the kit's brief template deliberately promises no savings, payback, or reliability improvement.

7. Is this JA1011 training or certification?

No. The kit describes the RCM process in original wording as a facilitation method and names JA1011 nominatively. It confers no certification and makes no compliance claim; decisions from your sessions still go through your site's engineering review.

8. Is the worked example a real plant?

No. Harborview Municipal Water Utility and its boiler feed pump are fictional, created for teaching. Their figures are invented, internally consistent, and labeled as estimates — they are not data about any real site.
